REQUIREMENTS

  • Prior experience in tourism, hospitality, scheduling, or administrative support roles is preferred
  • Familiarity with reservation and booking systems such as FareHarbor, Peek Pro, Rezdy, or similar platforms is highly desirable
  • Strong customer service skills with the ability to communicate clearly and professionally with guests and team members
  • Excellent organizational skills with the ability to manage multiple schedules simultaneously
  • Strong computer skills, including proficiency in Microsoft Office or Google Workspace and multi-line phone systems
  • Ability to work in a fast-paced, seasonal environment while maintaining attention to detail
  • Flexibility to work weekends, holidays, and peak tourism seasons
  • Bilingual abilities are a plus to support a diverse guest base
  • Previous experience in front desk operations, reservations, or tour coordination is an advantage

RESPONSIBILITIES

  • Schedule tours, activities, and reservations accurately using booking and reservation systems such as FareHarbor, Peek Pro, Rezdy, or similar platforms
  • Manage booking changes, cancellations, and reschedules to optimize daily operations and resource availability
  • Coordinate schedules for guides, drivers, equipment, and vehicles to ensure proper coverage
  • Communicate scheduling details and updates with staff, vendors, and guests in a timely and professional manner
  • Review and update reservation records, ensuring accuracy and proper documentation
  • Assist with front desk and guest support duties, including answering multi-line phones, responding to emails, and assisting walk-in guests
  • Maintain accurate documentation of bookings, payments, waivers, and guest notes
  • Monitor daily tour operations and make real-time scheduling adjustments as needed
  • Support billing and payment processes by verifying reservations, processing refunds or adjustments, and ensuring accurate records
  • Utilize computer systems such as Microsoft Office, Google Workspace, POS systems, and booking software for data entry and record keeping
  • Handle general administrative tasks including filing, organizing records, and maintaining efficient office workflows
  • Ensure company policies and safety procedures are followed during scheduling and operations
