Job Description

REQUIREMENTS

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Excellent computer literacy with the ability to learn new software quickly.
  • Strong typing skills with attention to detail for data entry and proofreading tasks.
  • Experience with multi-line phone systems, front desk operations, and customer service excellence.
  • Bilingual abilities are highly preferred to serve diverse client needs effectively.
  • Knowledge of office management procedures including filing systems, calendar management, and basic bookkeeping (QuickBooks experience is a plus).
  • Exceptional time management skills to prioritize tasks efficiently in a busy environment.

RESPONSIBILITIES

  • Manage and coordinate appointment scheduling using calendar management tools and software.
  • Operate phone systems to answer inquiries, direct calls efficiently, and handle incoming correspondence.
  • Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace.
  • Assist with clerical duties including typing reports, proofreading documents, and managing incoming/outgoing mail.
  • Provide customer support by addressing inquiries promptly and courteously via phone or in person while maintaining excellent phone etiquette.
