REQUIREMENTS

  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Excellent phone etiquette and customer service skills, with experience in front desk or receptionist roles
  • Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools and Adobe
  • Clerical experience involving data entry, filing, proofreading, and general administrative support
  • Exceptional time management skills to handle multiple responsibilities simultaneously

Preferred

  • Experience in construction, utilities, or logistics
  • Familiarity with 811 ticket systems (Sunshine 811, Miss Utility, Dig Safe, etc.)
  • Experience with work location coordination
  • Basic knowledge of fiber optics or underground construction industry

RESPONSIBILITIES

  • Act as the main liaison between field teams and office staff, ensuring clear communication and timely information flow
  • Manage scheduling, next-day work location coordination, for field personnel
  • Handle incoming calls using OnSip phone system with professionalism and courtesy, providing excellent customer service and routing messages appropriately
  • Maintain accurate records through data entry, filing, and document proofreading to support operational needs
  • Call in 811 tickets (same-day, next-day, and planned work)
  • Submit 3-hour emergency locate notices when required
  • Update and manage existing locate tickets and ticket maps
  • Communicate with 811 centers and utility company locators
  • Communicate changes and answer questions from field crew in real time
  • Update job logs, schedules, and daily work plans
  • Track crew assignments and job progress
  • Prepare basic reports for management
  • Utilize computer skills including Microsoft Office, Google Workspace, and Adobe for various administrative functions
