REQUIREMENTS

  • Proven experience as an executive assistant or in a similar administrative role supporting senior leadership.
  • Demonstrated proficiency in office management tools such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Experience with event planning, project coordination, bookkeeping (QuickBooks), and office procedures is highly desirable.
  • Excellent typing skills coupled with proofreading and transcription expertise for high-quality documentation.
  • Familiarity with multi-line phone systems, calendar management tools like Microsoft Outlook Calendar, and electronic signature platforms such as DocuSign.
  • Exceptional customer service skills with professional phone etiquette and the ability to handle sensitive information discreetly.
  • Office experience that includes filing, front desk responsibilities, clerical support, and general office administration. J

RESPONSIBILITIES

  • Manage and coordinate executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide comprehensive administrative support including email correspondence, document proofreading, transcription, and data entry to ensure accuracy and clarity in all communications.
  • Organize and facilitate event planning for corporate meetings, team-building activities, and special events to foster a positive organizational culture.
  • Handle phone etiquette for multi-line phone systems, screening calls professionally and directing inquiries appropriately.
  • Maintain office organization through filing systems, document management, and record keeping using QuickBooks for bookkeeping tasks when necessary.
  • Assist with project coordination by tracking deadlines, preparing reports, and supporting cross-departmental initiatives.
  • Perform clerical duties such as filing, front desk reception duties, office management tasks, and customer service interactions to create a welcoming environment.
  • Utilize office software including Microsoft Office Suite (Word, Excel, PowerPoint) to produce professional documents and presentations.
  • Support personal assistant responsibilities as needed, including managing confidential information with discretion.
