Job Description

REQUIREMENTS

  • Bachelor’s degree in Business Administration, Healthcare Administration, Communications, or related field preferred.
  • Minimum 3–5 years of experience as an Executive Assistant, Administrative Assistant, Senior Administrative Coordinator, or related role.
  • Experience supporting senior leadership, executives, directors, or C-suite professionals preferred.
  • Strong proficiency in Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience using Zoom, Google Workspace, scheduling platforms, and project management tools.
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and time-management abilities.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Self-motivated with the ability to work independently in a remote environment.
  • Strong attention to detail and problem-solving skills.
  • Reliable high-speed internet connection and dedicated remote workspace.

RESPONSIBILITIES

  • Manage complex executive calendars, appointments, meetings, and travel arrangements.
  • Coordinate virtual meetings, conference calls, presentations, and executive events.
  • Prepare reports, presentations, spreadsheets, agendas, meeting minutes, and executive correspondence.
  • Screen and prioritize emails, phone calls, and requests with professionalism and discretion.
  • Support executive leadership with project coordination, operational tasks, and deadline management.
  • Maintain confidential records, documents, and sensitive information in compliance with organizational policies.
  • Collaborate cross-functionally with departments including Human Resources, Finance, Operations, Clinical Leadership, and Administration.
  • Track action items, follow-ups, and deliverables to ensure timely completion.
  • Assist with budgeting, expense reports, invoice processing, and procurement coordination.
  • Organize digital filing systems and maintain accurate administrative documentation.
  • Support workflow improvements and administrative process optimization.
  • Handle multiple priorities simultaneously in a fast-paced remote work environment.
  • Provide exceptional customer service to internal and external stakeholders.
  • Perform additional administrative duties and special projects as assigned.
