- Knowledge of front desk operations including multi-line phone systems and appointment scheduling.
- Ability to manage time efficiently in a remote setting while maintaining attention to detail.
- Bilingual abilities are advantageous for supporting diverse client needs.
- Strong computer literacy combined with excellent phone etiquette ensures seamless communication across all channels.
RESPONSIBILITIES
- Manage and organize calendars, appointments, and meetings using tools like Google Workspace and Microsoft Office.
- Handle correspondence via email, phone, and chat, ensuring prompt and professional responses.
- Perform data entry, filing, and document proofreading to maintain accurate records.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software.
- Support front desk duties such as answering multi-line phone systems, greeting clients virtually, and managing visitor inquiries.
- Coordinate office management activities including supply ordering, filing systems, and document organization.
- Provide customer service support by addressing client inquiries with professionalism and courtesy.
- Maintain confidentiality of sensitive information while delivering exceptional administrative support.
- Utilize strong phone etiquette to handle calls efficiently and professionally in a bilingual environment if applicable.
