REQUIREMENTS

  • 3+ years of administrative, operational, or project coordination experience. Direct assistant experience is required, but an official assistant job title is not.
  • 1+ years of remote work experience
  • Ability to independently manage multiple clients and priorities
  • Excellent written and verbal communication skills
  • Reliable computer (Mac or PC with webcam), high-speed internet, and a distraction free remote workspace
  • Proficiency with Microsoft Office, Google Workspace, Zoom, Slack, and project management or AI tools (e.g., ClickUp, Asana, Trello, Notion, Monday.com, ChatGPT, Zapier)
  • Bachelor’s degree preferred

RESPONSIBILITIES

  • Manage client inboxes and calendars
  • Coordinate meetings, appointments, and scheduling
  • Conduct research and compile findings or reports
  • Prepare presentations, agendas, and other internal documents
  • Book and manage travel, expenses, and logistics
  • Provide light HR and finance support (invoicing, contracts, etc.)
  • Act as a liaison between the client and their team or customers
  • Document and maintain standard operating procedures (SOPs)
  • Organize digital files, CRMs, and shared drives
  • Support onboarding and offboarding workflows
  • Collaborate with vendors and external partners
  • Assist with launches, events, or internal initiatives
  • Schedule or publish content across social media platforms
  • Create or update branded assets using Canva
  • Draft, proofread, and edit marketing copy or newsletters
  • Support light website or blog updates
  • Track engagement and flag trends or performance metrics
