Veterinary Manager
Job Description
REQUIREMENTS
- 3+ years of veterinary practice management or medical office management experience; CVPM or similar credential a plus.
- Strong people leadership skills with experience supervising multi-role teams.
- Solid understanding of veterinary practice operations, scheduling, client service, and inventory management.
- Proficiency with practice management software, digital scheduling, and Microsoft/Google office tools.
- Excellent communication, problem-solving, and conflict-resolution skills.
- Highly organized, detail-oriented, and comfortable balancing administrative duties with on-the-floor support.
- Knowledge of regulatory compliance relevant to veterinary practices preferred.
RESPONSIBILITES
- Operations Management
- Oversee all day-to-day clinic activities, ensuring smooth patient flow, timely appointments, and operational efficiency.
- Manage the clinic schedule, including appointments, surgeries, and staff assignments.
- Maintain clinic standards for cleanliness, safety, and regulatory compliance (OSHA, biosecurity, controlled substances protocols as applicable).
- Oversee inventory management: ordering, receiving, stock rotation, cost control, and vendor relationships.
- Ensure reliable function and maintenance of medical and office equipment; coordinate repairs and service.
- Staff Leadership and HR
- Lead, coach, and develop reception, technician/assistant, kennel, and support staff; support DVM(s) in fostering a collaborative care team.
- Handle recruiting, onboarding, training, scheduling, and performance management.
- Conduct team meetings, reinforce protocols/SOPs, and cultivate a culture of accountability, compassion, and continuous improvement.
- Manage timekeeping and coordinate payroll inputs; ensure adequate staffing coverage.
- Client Experience and Relationship Management
- Ensure an exceptional client experience from check-in to discharge, including communication, education, and follow-up.
- Address client concerns and escalations professionally; resolve issues and maintain high satisfaction.
- Support community outreach, reviews/reputation management, client reminders, and retention initiatives.
- Financial and Performance Management
- Monitor key performance indicators (KPIs): revenue, average transaction value, doctor productivity, appointment utilization, inventory costs, and client retention.
- Assist with budgeting, forecasting, and expense control; review invoices and approve routine purchases.
- Implement efficiency improvements and best practices to meet performance goals for the location.
- Medical Support (Non-clinical oversight)
- Coordinate with veterinarians to align staffing, protocols, and resources to support high-quality medical care.
- Ensure medical records accuracy, compliance, and timely documentation workflows.
- Support controlled substance log procedures and compliance in partnership with the DVM in charge (where applicable).
