REQUIREMENTS

  • Previous experience in travel coordination, event planning, hospitality, tourism, or a related field strongly preferred.
  • Organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects, deadlines, and priorities simultaneously.
  • Proficiency in proofreading, editing, and reviewing documents for accuracy.
  • Experience working with spreadsheets, databases, rooming lists, manifests, and detailed client records.
  • Familiarity project management software preferred.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Customer service-oriented mindset with a friendly, professional, and solution-focused approach.
  • Ability to work independently while collaborating effectively within a remote team environment.
  • Strong problem-solving skills and adaptability in a fast-paced environment.
  • Comfortable communicating professionally with clients, vendors, and travel partners worldwide.
  • Ability to handle confidential client information with professionalism and discretion.
  • Demonstrated follow-through, accountability, and ownership of assigned responsibilities.

RESPONSIBILITIES

  • Collaborate directly with the Adventure Travel Specialist to coordinate travel logistics for group tours.
  • Coordinate domestic and international reservations, including accommodations, transportation, restaurants, and other travel services.
  • Prepare and maintain itineraries, rooming lists, transfer schedules, flight manifests, and other trip-related documents.
  • Serve as a primary point of contact for assigned trips, responding to client inquiries and providing exceptional customer service.
  • Follow up with clients regarding required forms, flight information, passport details, emergency contacts, and other travel documentation.
  • Maintain accurate client records, booking information, and travel databases.
  • Communicate with hotels, transportation providers, guides, and other vendors to secure and confirm reservations.
  • Assist with booking confirmations, pre-departure communications, and final trip materials.
  • Conduct destination, hotel, and vendor research as assigned.
  • Manage assigned email correspondence and ensure timely follow-up with clients and vendors.
  • Assist with company merchandise, special projects, and additional administrative tasks as needed.
