REQUIREMENTS
-
- 1–3 years of experience in supply chain, print production, publishing operations, or order fulfillment.
- Experience working with CRM systems (Salesforce preferred) and inventory or ERP systems.
- Strong attention to detail and ability to manage complex, multi-site shipment requirements.
- Comfortable working in spreadsheets and managing large data sets.
- Ability to collaborate cross-functionally in a fast-paced, seasonal demand environment.
Preferred Experience

- Experience supporting K-12 school or district procurement cycles.
- Familiarity with print production processes (offset/digital printing, binding, kitting).
- Experience coordinating with third-party logistics (3PL) partners.
RESPONSIBILITIES
1. Aggregate and Validate Orders from Salesforce
-
- Pull, review, and consolidate district and school purchase orders from Salesforce.com.
- Ensure order accuracy, including SKU selection, quantities, ship-to addresses, requested delivery dates, and special district requirements.
- Confirm alignment between contract terms, quotes, and submitted purchase orders.
- Identify and resolve discrepancies in collaboration with Sales and Customer Success teams before orders move into production.
- Maintain organized documentation of order intake and provide regular reporting on open, pending, and fulfilled orders.
2. Create Detailed Print & Fulfillment Specifications

- Translate approved orders into clear fulfillment instructions for print vendors and third-party logistics (3PL) partners.
- Develop shipment breakdowns by school site, grade level, classroom, or teacher (as required by district logistics).
- Prepare detailed packing specifications including bundle configurations, labeling requirements, and district-specific compliance needs.
- Enter and maintain fulfillment details in internal systems to ensure visibility into production and shipping timelines.
- Track shipment milestones and update stakeholders on delivery status.
3. Ensure Updated Curriculum & Content File Availability

- Coordinate with Curriculum and Product teams to confirm the most current print-ready files are used for production.
- Maintain organized file repositories to ensure vendors have access to correct editions, versions, and formatting specifications.
- Verify that SKU mappings align with the correct content files and print configurations.
- Proactively flag outdated versions, content mismatches, or file inconsistencies prior to print runs.
- Support version control processes during curriculum updates or mid-year revisions.
4. Manage Inventory Levels for Printed Materials

- Monitor inventory quantities across warehouses and vendor locations to ensure real-time accuracy.
- Reconcile inventory reports from 3PL partners and print vendors.
- Track safety stock levels for high-volume curriculum components and classroom kits.
- Identify potential stockouts or overages and communicate risks to the Operations team.
- Support cycle counts and inventory audits to maintain data integrity across systems.
- Assist with demand tracking during peak back-to-school and mid-year adoption periods.
5. Create and Track Purchase Orders for Print Production

- Generate purchase orders for print vendors and suppliers based on confirmed sales demand and inventory forecasts.
- Ensure POs include detailed specifications such as quantities, formats, trim sizes, binding types, packaging requirements, and delivery timelines.
- Monitor vendor acknowledgments, production schedules, and shipping confirmations.
- Track costs and escalate production delays or quality issues as needed.
- Maintain accurate PO records and collaborate with Finance on invoice matching and reconciliation.
