Job Description

REQUIREMENTS

  • 3–5+ years of procurement experience in luxury residential interiors, hospitality design, architecture, or related industries
  • Strong understanding of furniture, lighting, textiles, and custom fabrication processes
  • Experience with purchase order systems and procurement tracking
  • Exceptional attention to detail and organizational skills
  • Ability to manage multiple projects simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Excel, Google Workspace, and project management software

Preferred

  • Experience working with luxury residential interior design firms
  • Knowledge of trade vendors and showroom resources
  • Familiarity with Design Manager, Studio Designer, Ivy, or similar procurement software
  • Understanding of receiving warehouse operations and installation logistics

RESPONSIBILITIES

Procurement Management

  • Generate and manage purchase orders for approved FF&E items
  • Verify pricing, lead times, freight costs, and vendor terms
  • Coordinate deposits and payments with accounting and clients
  • Review vendor acknowledgments and order confirmations
  • Maintain accurate procurement records and documentation

Vendor Coordination

  • Communicate directly with manufacturers, artisans, showrooms, and suppliers
  • Monitor production schedules and lead times
  • Resolve vendor discrepancies and delivery issues
  • Coordinate custom furniture and fabrication orders
  • Request and review shop drawings and finish samples

Order Tracking

  • Maintain detailed procurement tracking reports
  • Monitor order status from placement through delivery
  • Provide regular status updates to the design team
  • Identify potential delays and proactively recommend solutions
  • Track backorders, damages, and replacements

Receiving & Logistics

  • Coordinate with receiving warehouses and white-glove delivery teams
  • Review receiving reports and inventory documentation
  • Verify condition of all received merchandise
  • Manage claims for damaged, defective, or missing items
  • Coordinate delivery scheduling and installation logistics

Installation Support

  • Assist with FF&E installation planning and scheduling
  • Coordinate vendor deliveries and installation teams
  • Support project managers during installation phases
  • Prepare installation documentation and punch lists
  • Ensure all items are installed according to design intent

Budget & Reporting

  • Track procurement budgets and expenditures
  • Maintain procurement spreadsheets and project databases
  • Assist with invoicing and payment tracking
  • Prepare procurement status reports for internal and client meetings
