Job Description

REQUIREMENTS

  • 3+ years in telehealth operations, enrollment operations, or clinic operations
  • experience speaking with prospective patients by phone daily
  • experience converting inbound marketing leads into scheduled visits or subscriptions
  • experience working with shared patient messaging inboxes
  • experience collaborating directly with clinicians
  • familiarity with HIPAA workflows
  • comfort working independently in startup environments
  • experience working in metrics-driven roles (conversion rate, activation rate, response speed)

Preferred

  • Experience with using telehealth platform from operations perspective.
  • HubSpot pipeline ownership (or other digital marketing tools)
  • async telehealth workflow exposure
  • GLP-1, hormone care, dermatology, or metabolic programs
  • multi-state telehealth coordination experience

RESPONSIBILITIES

1. Lead Conversion & Subscriber Growth

Responsibilities include:

  • speaking with prospective patients by phone/e-mail daily
  • contacting new leads shortly after inquiry
  • answering program eligibility and pricing questions
  • helping patients choose the right program
  • addressing objections before enrollment
  • following up with undecided leads
  • improving intake completion rates
  • maintaining CRM pipeline visibility

Expect to speak with 10–25 prospective patients per day depending on campaign (Facebook, Instagram, Google) volume.

Your effectiveness directly impacts monthly subscriber growth.

2. Daily/Weekly Collaboration With the Digital Marketing Team

You will work closely with the marketing team every day to improve campaign performance.

Responsibilities include:

  • reviewing incoming lead quality
  • identifying conversion blockers
  • surfacing common patient objections
  • tagging lead readiness levels
  • supporting campaign launches
  • helping refine outreach scripts
  • reporting funnel insights weekly

You translate patient conversations into measurable marketing improvements.

3. Daily/Weekly Coordination With Nurse Practitioners (FNPs)

Responsibilities include:

  • routing clinical questions appropriately
  • prioritizing urgent patient escalations
  • supporting intake readiness before clinical review
  • reducing unnecessary clinician inbox load
  • ensuring patients receive timely responses
  • improving activation timelines

You help ensure clinicians focus on care not coordination.

4. Enrollment Pipeline Operations

You will manage the journey from lead capture to program start.

Responsibilities include:

  • reviewing daily inbound lead flow
  • prioritizing high-intent patients
  • coordinating intake completion
  • supporting scheduling where needed
  • monitoring drop-off points
  • improving conversion workflows
  • maintaining HubSpot pipeline accuracy

You ensure no qualified patient falls through the funnel.

5. Patient Messaging & Support Workflows

You will oversee non-clinical patient communication across:

  • Messaging on our telehealth platform
  • SMS
  • email
  • intake workflows

Responsibilities include:

  • onboarding reminders
  • scheduling coordination
  • pharmacy timing expectations
  • lab logistics support
  • billing navigation
  • technical troubleshooting
  • program guidance

Your responsiveness improves retention and patient confidence.

6. Build and Improve our client’s Operating Systems

This role helps shape how the company operates as it scales.

Responsibilities include:

  • documenting SOPs in Notion
  • refining triage protocols
  • improving onboarding sequences
  • supporting automation workflows
  • maintaining CRM hygiene
  • identifying workflow bottlenecks
  • recommending tooling improvements
