Executive Assistant
Job Description
REQUIREMENTS
- 3+ years of experience as an Executive Assistant, Administrative Assistant, or related role
- Previous remote work experience preferred
- Strong proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint)
- Experience using Google Workspace, Zoom, Microsoft Teams, Slack, or similar collaboration tools
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- Ability to maintain confidentiality and exercise sound judgment
- Proven ability to prioritize tasks in a fast-paced environment
- High attention to detail and accuracy
- Associate’s or Bachelor’s degree preferred but not required
RESPONSIBILITIES
- Manage complex executive calendars, appointments, and scheduling across multiple time zones
- Coordinate virtual meetings, conference calls, and executive presentations
- Prepare reports, spreadsheets, presentations, and internal communications
- Arrange domestic and international travel accommodations and itineraries
- Screen emails, calls, and correspondence while prioritizing urgent matters
- Support executive leadership with project coordination and operational tasks
- Maintain confidential records, documents, and sensitive business information
- Track expenses, invoices, and reimbursements using expense management systems
- Assist with meeting agendas, note-taking, and follow-up action items
- Collaborate with internal departments including HR, Operations, Finance, and Marketing
- Conduct research and compile data for executive decision-making
- Improve administrative processes and identify workflow efficiencies
- Handle special projects and executive support tasks as assigned
