Job Description

REQUIREMENTS

  • Previous office experience or administrative support roles preferred; experience as a receptionist or personal assistant is a plus.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
  • Familiarity with QuickBooks or bookkeeping experience is advantageous.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
  • Demonstrated phone etiquette skills with experience managing multi-line phone systems.
  • Bilingual abilities are highly desirable to serve diverse client needs.
  • Experience in medical or dental receptionist roles is beneficial but not required; training will be provided for specific industry needs.

RESPONSIBILITIES

  • Manage multi-line phone systems efficiently, directing calls accurately and courteously.
  • Handle data entry tasks with speed and precision using computer skills including Microsoft Office and Google Workspace.
  • Maintain organized filing systems, update records, and ensure all documentation is accurate through proofreading and data management.
  • Assist with office management duties such as calendar management, appointment scheduling, and supply inventory.
  • Provide excellent customer support by answering inquiries via phone or email promptly and professionally.
  • Support clerical tasks including filing, photocopying, proofreading documents, and managing incoming/outgoing correspondence.
