REQUIREMENTS
- Proven experience in office administration or customer service roles; previous dental or medical receptionist experience is a plus.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry skills.
- Excellent phone etiquette with the ability to manage multi-line phone systems confidently.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Exceptional organizational skills with keen attention to detail; ability to prioritize tasks efficiently.
- Experience with office management software such as QuickBooks or similar accounting tools is preferred.
- Demonstrated ability to handle clerical duties like filing, proofreading, and calendar management accurately.
- Strong interpersonal skills combined with professionalism and a positive attitude to deliver outstanding customer service.
RESPONSIBILITIES
- Respond promptly and professionally to customer inquiries via multi-line phone systems, email, and in-person interactions.
- Manage front desk responsibilities, including greeting visitors, handling incoming calls, and directing them efficiently.
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools.
- Assist with clerical tasks such as filing, proofreading documents, scheduling appointments, and calendar management.
- Support office management activities by organizing files, managing supplies, and maintaining a tidy workspace.
- Provide excellent customer support by addressing questions, resolving issues, and ensuring customer satisfaction.
- Handle basic bookkeeping tasks using QuickBooks and assist with billing or invoicing as needed.
