Job Description

REQUIREMENTS

  • High school diploma or GED required; associate degree or additional business, logistics, or operations training preferred
  • 1–2+ years of experience in logistics, operations coordination, customer support, dispatching, or administrative support roles preferred
  • Basic understanding of logistics coordination, scheduling processes, and operational workflows
  • Experience working with ERP systems or operational management platforms; E-Automate experience strongly preferred
  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook
  • Strong organizational skills with the ability to manage multiple priorities in a deadline-driven environment
  • Excellent verbal and written communication skills with the ability to work effectively across multiple teams and external partners
  • Strong attention to detail and commitment to accuracy in documentation and order processing
  • Ability to problem-solve independently while escalating issues appropriately when needed
  • Customer-focused mindset with a professional and service-oriented approach
  • Team-oriented attitude with the ability to collaborate effectively across departments
  • Ability to adapt quickly in a fast-paced operational environment while maintaining professionalism and efficiency

RESPONSIBILITIES

  • Serve as the primary point of contact for incoming dealer installation and coordination requests within the assigned region
  • Coordinate installation timelines and logistics between sales teams, third-party dealers, warehouse operations, and customers
  • Negotiate installation compensation and maintenance pricing based on manufacturer guidelines and operational requirements
  • Create and manage sales orders, purchase orders, contracts, and related documentation within E-Automate
  • Monitor and communicate equipment receipt, staging, delivery, installation, and pickup status with internal and external stakeholders
  • Follow up proactively with dealers, warehouse teams, and customers to ensure orders remain on schedule and issues are resolved quickly
  • Coordinate with sales teams to identify and engage authorized third-party dealers to support customer installations and service needs
  • Ensure all billing documentation, installation records, and supporting paperwork are completed accurately and submitted on time
  • Update customer equipment records, contracts, and installation details within company systems
  • Assist in resolving operational discrepancies, scheduling conflicts, and installation-related issues
  • Maintain clear and professional communication with internal departments, external vendors, and dealer partners
  • Support continuous process improvement initiatives to enhance installation coordination efficiency and customer experience
  • Prioritize multiple projects and deadlines while maintaining a high level of accuracy and attention to detail
  • Perform additional administrative and operational support duties as assigned
