Job Description

REQUIREMENTS

  • High school diploma or equivalent.
  • Minimum 1 year of experience in customer service, healthcare administration, behavioral health support, social services, scheduling, call center operations, or administrative support.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to work independently in a remote work environment.
  • Proficiency with Microsoft Office and web-based software applications.

Preferred

  • Experience in behavioral health, counseling, healthcare, nonprofit organizations, or wellness services.
  • Familiarity with electronic health records (EHR), CRM, or scheduling software.
  • Experience coordinating appointments or client intake processes.
  • Previous remote work experience.

RESPONSIBILITIES

Client Support

  • Respond to client inquiries by phone, email, and secure messaging platforms.
  • Provide information regarding available services, scheduling, and general practice procedures.
  • Assist clients with non-clinical questions and connect them with the appropriate team members when needed.
  • Deliver professional, compassionate, and timely customer service.

Appointment & Intake Coordination

  • Schedule, confirm, reschedule, and cancel appointments.
  • Support new client intake by collecting required forms and documentation.
  • Send appointment reminders and follow-up communications.
  • Maintain accurate scheduling records and client information.

Wellness Coordination

  • Follow up with clients regarding administrative needs and appointment-related matters.
  • Assist with client resource coordination and service communications.
  • Monitor client requests and ensure timely responses.
  • Support initiatives that enhance the overall client experience.

Administrative Support

  • Maintain accurate electronic client records and documentation.
  • Perform data entry and update information within company systems.
  • Prepare reports, correspondence, and administrative materials.
  • Handle confidential information in accordance with company policies and applicable privacy requirements.
