Job Description
REQUIREMENTS
- Strong organizational skills and comfort juggling several moving pieces at once
- Clear, professional phone and written communication
- A calm, solutions first approach when plans change on short notice
- Comfort booking travel (hotels, rental cars, airline tickets) both online and by phone
- Availability for occasional evenings or weekends to support active trips
- Prior experience in aviation, travel coordination, hospitality, or concierge services is a plus, but not required
- Bilingual English/Spanish is a plus
RESPONSIBILITES
- Arrange hotel accommodations for pilots on overnight and multi day trips
- Coordinate rental cars for crew at destination airports
- Order and confirm catering for passengers on scheduled flights
- Arrange ground transportation for passengers with specific needs (accessible vehicles, larger groups, private car service, and similar requests)
- Book commercial airline tickets for pilots positioning to and from the aircraft
- Coordinate with FBOs on aircraft related services, such as fuel, parking, hangar space, and handling
- Stay in direct communication with pilots to confirm trip details and handle changes as they come up, including last minute ones
- Track bookings, confirmations, and related expenses accurately
- Rebook or adjust arrangements quickly when flights are delayed, cancelled, or plans change
