REQUIREMENTS

  • 3+ years in operations, with a love of and natural inclination towards technology and using tech systems to organize yourself
  • Concierge services, or high-touch client services experience
  • Previous experience coordinating complex scheduling and logistics and working across multiple locations and multiple tech platforms
  • Familiarity, interest or experience in healthcare, wellness, or concierge medicine a plus
  • Advanced spreadsheet skills
  • Remote work experience strongly preferred

RESPONSIBILITIES

  • Lead and manage complex operational workflows to ensure seamless, efficient, and high- quality service delivery that helps build strong customer relationships
  • Build, refine, and optimize systems and processes that support scalability and consistency, reduce inefficiencies and redundancies, and create operational excellence
  • Oversee daily operations with a proactive, solutions-oriented mindset
  • Handle all systems, organization & data management. Build and manage spreadsheets to track patient records & workflows; reconcile daily & monthly financial transactions; handle accounts payable and vendor documentation
  • Serve as the primary point of contact and relationship manager for high net-worth patients ensuring an exceptional concierge experience
  • Foster strong trusted relationship through outstanding communication and interpersonal skills
  • Set and uphold the standard for luxury, white-glove customer service across all touch points
  • Anticipate client needs and resolve issues with discretion empathy, and professionalism
  • Ensure consistency and excellence in patient communication before, during, and after services
  • Manage and schedule appointment, blood draws, prescription management, and follow up
  • Schedule medical treatments with providers and patients across multiple states and time zones

  • Support startup-style growth initiatives with flexibility and strategic thinking
  • Assist in scaling operations while preserving the personalized, high-touch nature of the practice
  • Leverage technology to improve efficiency, organization, and client experience
  • Collaborate closely with the founder to align operations with long-term business goals
