REQUIREMENTS
- 3-5 years of experience in luxury hospitality sales, reservations, or guest relations (5-star hotels, luxury villas, high-end travel agencies)
- Proven track record of achieving or exceeding booking/sales targets in a luxury environment
- Exceptional communication skills in English (written and verbal) with impeccable phone etiquette
- Deep understanding of UHNWI/HNWI expectations, preferences, and service standards
- Strong consultative sales skills – ability to listen, understand needs, and present tailored solutions
- Proficiency in CRM systems and booking management platforms
- Meticulous attention to detail in managing bookings, contracts, and client communications
- Professional demeanor with polished presentation skills via phone and video
- Ability to work independently and manage time effectively with minimal supervision
- Flexibility to work outside standard business hours to accommodate international clients
Preferred:
- Experience in villa rentals, luxury vacation homes, or boutique hotel reservations
- Knowledge of South Africa as luxury travel destinations
- Multilingual capabilities (French, German, Arabic, Mandarin, or other languages spoken by UHNWI clients)
- Background in luxury concierge services or family office client management
- Familiarity with luxury travel trends and high-end experiential travel
- Experience with remote sales and virtual client engagement tools
RESPONSIBILITIES
- Respond promptly to inbound inquiries from pre-qualified leads
- Conduct consultative conversations via phone, email, WhatsApp, and video calls to understand client requirements
- Present tailored villa recommendations based on client preferences (location, amenities, group size, budget, occasion)
- Provide detailed property information including floor plans, photo galleries, virtual tours, and bespoke service options
- Handle objections gracefully and address concerns with confidence and expertise
- Guide clients through the booking process from inquiry to confirmed reservation
- Achieve monthly conversion targets
- Manage booking pipeline using CRM system with accurate tracking and follow-up schedules
- Build rapport and trust with discerning clients through personalized, attentive communication
- Understand client preferences in detail (dietary requirements, special occasions, accessibility needs, preferred communication style)
- Act as the client’s advocate internally to ensure all preferences are communicated to operations team
- Maintain regular communication throughout the booking journey (confirmation, pre-arrival, during stay check-ins, post-stay follow-up)
- Anticipate client needs and proactively offer solutions before issues arise
- Create memorable moments through thoughtful touches (welcome amenities, personalized itineraries, surprise celebrations)
- Gather testimonials and reviews from satisfied guests for marketing purposes
- Identify upselling opportunities for premium services such as:
- Private chefs and in-villa dining experiences
- Butler and concierge services
- Spa treatments and wellness services
- Bespoke excursions (private safaris, wine tours, helicopter transfers, yacht charters)
- Extended stays and villa upgrades
- Maximize booking value through strategic recommendations aligned with client interests
- Promote seasonal packages and special offers when appropriate
- Maintain accurate records in CRM system
- Document all client interactions, preferences, and booking details meticulously
- Process booking confirmations, contracts, and payment schedules accurately
- Coordinate with finance team for deposit collection and payment tracking
- Generate regular reports on lead volume, conversion rates, pipeline status, and revenue
