Remote Payroll Assistant
Job Description
REQUIREMENTS
- High school diploma or equivalent required; Associate’s degree in Accounting, Business Administration, or a related field preferred.
- Previous payroll, accounting, bookkeeping, or administrative experience preferred.
- Familiarity with payroll software such as ADP, Paychex, QuickBooks Payroll, or similar systems is a plus.
- Proficiency in Microsoft Office, particularly Excel.
- Strong mathematical, analytical, and organizational skills.
- Excellent attention to detail and accuracy.
- Ability to handle confidential information with professionalism and discretion.
- Strong written and verbal communication skills.
- Ability to work independently in a remote environment while meeting deadlines.
Preferred
- Knowledge of payroll tax regulations and wage laws.
- Experience with timekeeping systems and electronic payroll processing.
- Problem-solving and critical thinking abilities.
- Effective time management and multitasking skills.
- Strong customer service mindset when assisting employees with payroll questions.
RESPONSIBILITIES
- Assist with processing weekly, bi-weekly, or semi-monthly payroll for employees.
- Review employee timesheets for accuracy and resolve discrepancies with supervisors.
- Enter and maintain payroll information, including new hires, terminations, pay rate changes, deductions, and direct deposit information.
- Verify overtime, bonuses, commissions, and other compensation adjustments.
- Maintain accurate payroll records and employee files while ensuring confidentiality.
- Respond to employee payroll inquiries regarding wages, taxes, deductions, and timekeeping.
- Prepare payroll reports for management, accounting, and auditing purposes.
- Assist with year-end payroll activities, including W-2 preparation and payroll reconciliations.
- Ensure compliance with federal, state, and local payroll regulations.
- Collaborate with the Human Resources and Accounting teams to maintain accurate employee and payroll records.
- Support payroll audits and assist with documentation requests.
- Perform additional administrative and payroll-related duties as assigned.
