Job Description

REQUIREMENTS

  • 5+ years of experience in project operations, resource management, PMO, professional services operations, or a similar role.
  • Strong experience working with business systems such as Salesforce, ERP, CRM, PSA, or project management platforms.
  • High attention to detail and a strong commitment to data accuracy and system discipline.
  • Strong organisational skills, with the ability to manage multiple projects, deadlines, priorities and stakeholders.
  • Excellent communication and stakeholder management skills.
  • Ability to manage trade-offs, make informed recommendations and escalate risks appropriately.
  • Strong reporting and analytical skills, with confidence working with project, resource, and operational data.
  • Proactive mindset, with the ability to anticipate issues, follow through and drive resolution.
  • Confidence to challenge incomplete or inaccurate information in a constructive and professional manner.
  • Commercial awareness and an understanding of how accurate project data and effective resource allocation support utilisation, forecasting, revenue, margin, and client delivery.

Preferred

  • Hands-on Salesforce-based ERP experience.
  • Experience working in consulting, professional services, learning and development, or another fast-paced client environment.
  • Exposure to project financials, utilisation reporting, forecasting, capacity planning, or revenue reporting.
  • Experience supporting project governance, resource planning, or operational reporting across multiple stakeholders.
  • Experience producing reports, dashboards, or operational insights for leadership teams.

RESPONSIBILITIES

Project Setup & Salesforce Data Integrity

  • Create, validate and maintain project records in Salesforce from initiation through to closure.
  • Ensure that all required project, commercial, delivery and resourcing information is accurately captured and updated.
  • Act as a key owner of Salesforce project and resourcing data quality for the IMEA region
  • Ensure that projects are correctly set up before kick off, with all mandatory information completed and validated.
  • Monitor project records throughout the project lifecycle, ensuring that changes to scope, dates, staffing, status, or commercial information are accurately reflected.
  • Follow up with Account Managers, Project Leads, Finance, and other stakeholders to resolve missing, incomplete, outdated, or inaccurate information.
  • Support consistent use of Salesforce processes, fields, workflows, and reporting requirements.
  • Help ensure that Salesforce remains a trusted source of truth for project delivery, resourcing, reporting, forecasting, and leadership decision-making.

Reporting & Insights

  • Produce regular reports to provide visibility on project status, resource allocation, utilisation, capacity and upcoming demand.
  • Support Account Managers, Project Leads and PRO with accurate and timely operational data.
  • Identify trends, risks, gaps, or inconsistencies in project and resourcing data.
  • Support forecasting and planning discussions by providing reliable project and resource information.
  • Highlight data quality issues, resourcing risks, project status concerns, or capacity constraints early.
  • Contribute to business reporting by ensuring that underlying Salesforce data is accurate, complete and current.

Stakeholder Collaboration

  • Act as a central coordination point between Account Managers, Project Leads, Finance and PRO
  • Communicate clearly and proactively on priorities, trade-offs, risks, project updates and operational requirements.
  • Build strong working relationships with stakeholders while maintaining discipline around process, data accuracy and timelines.
  • Constructively challenge incomplete, inaccurate, or inconsistent information to ensure that project records and reports remain reliable.
  • Support teams in understanding and following agreed project setup, resourcing and Salesforce processes.
  • Balance being service-oriented and collaborative with the need to uphold operational standards and data integrity.

Process Improvement

  • Identify opportunities to improve resourcing processes, Salesforce usage, reporting, project governance and operational workflows.
  • Contribute to building efficient, scalable, and consistent ways of working across the IMEA region.
  • Support the implementation of improved templates, checklists, dashboards, controls, and data quality processes.
  • Help drive operational discipline across project setup, staffing, tracking, reporting and closure.
  • Proactively recommend improvements that reduce errors, improve visibility and support better decision-making.
