Job Description

REQUIREMENTS

  • 2+ years of experience in project coordination, project administration, construction coordination, retail rollout, operations, accounting, or a related field.
  • Strong organizational skills and attention to detail.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, particularly Excel.
  • Strong written and verbal communication skills.
  • Ability to work effectively with cross-functional teams.

PREFERRED

  • Experience supporting construction, retail environments, fixtures, millwork, signage, décor, or related project-based industries.
  • Experience with ERP systems, project management software, or project controls tools.
  • Understanding of project lifecycle management principles.
  • Experience with financial tracking, purchase orders, change orders, invoicing, or budgeting.
  • CAPM certification or coursework in Project Management.

RESPONSIBILITIES

PROJECT CONTROLS & DATA MANAGEMENT

  • Maintain project information within company ERP and project management systems.
  • Ensure accuracy and completeness of project data, schedules, budgets, forecasts, and status.
  • Support project setup, maintenance, and closeout activities.
  • Monitor project documentation for completeness and process compliance.
  • Track project milestones, deliverables, risks, issues, and action items.

REPORTING & VISIBILITY

  • Generate and distribute project status reports, dashboards, and performance metrics.
  • Support financial tracking — purchase orders, change orders, invoicing coordination, and budget updates.
  • Assist with resource planning and project forecasting.
  • Maintain project records and historical documentation.

ADMINISTRATIVE & TEAM COORDINATION

  • Coordinate meetings, agendas, action items, and follow-up activities.
  • Facilitate communication between internal departments, vendors, subcontractors, and project teams.
  • Assist with document control, submittals, approvals, and project correspondence.
  • Support onboarding and transition activities for new projects and client programs.

PROCESS IMPROVEMENT

  • Identify opportunities to improve project controls, reporting, and administrative processes.
  • Assist with development and maintenance of PMO standards, templates, and best practices.
  • Promote consistency in project execution and documentation across all programs and projects.
