Job Description

REQUIREMENTS

  • Proven experience as a Personal Assistant or in an executive administrative support role with a minimum of several years of relevant office experience.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications (Gmail, Calendar), and office management software such as QuickBooks.
  • Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment.
  • Excellent typing speed combined with meticulous proofreading skills for creating accurate documents.
  • Experience managing multi-line phone systems and providing exceptional customer service in a professional setting.
  • Familiarity with project coordination techniques and event planning processes from start to finish.
  • Knowledge of bookkeeping practices including data entry and basic financial record keeping.
  • Ability to handle confidential information with integrity while maintaining high levels of professionalism at all times. 

RESPONSIBILITIES

  • Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate multiple projects simultaneously, ensuring deadlines are met and all stakeholders are informed.
  • Handle correspondence via phone, email, and messaging platforms with excellent phone etiquette and professionalism.
  • Prepare, proofread, and transcribe documents, reports, and presentations to ensure accuracy and clarity.
  • Organize travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries.
  • Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
  • Facilitate event planning for meetings or company functions by coordinating logistics, catering, venues, and attendee communication.
  • Support executive administrative needs through document signing with DocuSign and managing confidential information discreetly.
  • Perform clerical duties including filing, front desk reception duties, multi-line phone system management, and customer service interactions.
  • Assist with transcription services and proofreading to ensure professional quality of all communications.
