Job Description

REQUIREMENTS

  • Highly organized with excellent attention to detail.
  • Comfortable managing dozens of moving pieces at once.
  • Strong written and verbal communication skills.
  • Able to make good decisions without needing constant direction.
  • Comfortable using Google Workspace (Sheets, Docs, Gmail) and learning new software quickly.
  • Experience coordinating vendors, scheduling, dispatching, construction, vendor management, or service businesses is strongly preferred.
  • Ability to stay calm under pressure and solve problems independently.

RESPONSIBILITIES

  • Coordinate maintenance, cleaning, and landscaping work orders from start to finish.
  • Communicate with contractors and vendors by phone, text, and email throughout the day.
  • Schedule vendors and confirm appointments.
  • Track job progress and ensure work is completed on time.
  • Review photos, invoices, and job documentation for accuracy.
  • Update Google Sheets and internal tracking systems.
  • Follow up with vendors on missing information or overdue jobs.
  • Escalate pricing changes, customer issues, or unusual situations to management.
  • Help improve processes as we continue to grow.
