REQUIREMENTS
- Exceptionally detail-oriented—you catch what others miss
- A strong written communicator (clear, concise, professional tone)
- Highly organized with excellent task and time management
- Reliable and consistent—you follow through and close every loop
- Comfortable working independently without constant oversight
- Process-driven—you enjoy following (and improving) systems
- Excellent at Multitasking
- Tech-savvy and quick to learn new tools
- 2+ years in a virtual assistant, administrative, or customer support role
- Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar)
- Experience with task/project management tools (e.g., ClickUp or similar)
- Excellent written and verbal communication skills
- Strong organizational abilities
- High school diploma or equivalent
- Availability: Monday–Friday, between 9:00 AM–3:00 PM Central Time
- Occasional weekend coverage (1-2 Saturdays per month)
- Reliable high-speed internet and a distraction-free workspace
- Access to a modern computer with webcam
RESPONSIBILITIES
- Manage and organize the company inbox (prioritize, respond, delegate, and maintain inbox zero)
- Answer and route incoming phone calls with professionalism and warmth
- Track tasks and workflows in project management tools
- Draft, format, and send travel quotes using provided systems
- Assist with bookings, holds, and supplier coordination
- Ensure all client interactions are timely, accurate, and well-documented
