Job Description
REQUIREMENTS
- Previous receptionist, customer service, call center, intake specialist, or administrative experience preferred.
- Strong verbal and written communication skills.
- Ability to communicate with empathy, professionalism, and patience.
- Excellent organizational and time-management skills.
- Strong attention to detail and follow-through.
- Ability to multitask and prioritize responsibilities effectively.
- Comfortable using computers, case management software, calendars, phone systems, and text messaging platforms.
- Reliable internet connection and dedicated remote workspace.
- Bilingual (English/Spanish) is a plus but not required.
RESPONSIBILITIES
- Answer and direct all incoming phone calls in a professional and compassionate manner.
- Schedule consultations for prospective clients.
- Respond promptly to client and prospective client text messages.
- Follow up with leads who have inquired about services but have not yet scheduled a consultation.
- Follow up with individuals who missed or canceled consultations to reschedule appointments.
- Respond to online inquiries and leads and convert them into scheduled consultations.
- Take accurate messages and route communications to the appropriate team members.
- Maintain detailed notes and client records within the firm’s systems.
- Provide excellent customer service and ensure every caller feels valued and supported.
- Assist with general administrative tasks as needed.
