Docketing Specialist
Job Description
REQUIREMENTS
- Two to five years of law firm or legal support experience; docketing experience preferred.
- Familiarity with docketing systems required; Aderant Milana experience a plus.
- Basic understanding of court rules, litigation procedures, and deadline calculation.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational skills and ability to manage multiple priorities in a deadline-driven environment.
- Ability to work effectively in a centralized, multi-office service model.
- Strong written and verbal communication skills.
- Demonstrated accountability, reliability, responsiveness, and sound judgment.
- Ability to collaborate effectively with attorneys, paralegals, legal secretaries, administrative staff, and docketing team members.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
- Familiarity with electronic filing systems, court portals, or litigation support tools is a plus.
- Associate or bachelor’s degree or commensurate experience.
RESPONSIBILITIES
- Enter, maintain, and monitor court and administrative deadlines using Aderant Milana.
- Review and analyze legal documents, including pleadings, court notices, correspondence, complaints, summonses, motions, and other case-related materials, to identify and calculate applicable deadlines.
- Accurately update and maintain case information, deadlines, and related docket entries in the firm’s docketing system.
- Monitor upcoming deadlines and ensure timely communication of critical dates to attorneys, paralegals, legal secretaries, and administrative staff.
- Maintain accuracy and completeness of docket entries across multiple jurisdictions.
- Perform routine audits and reviews of docket entries to verify accuracy, consistency, and compliance with court rules, jurisdictional requirements, and firm protocols.
- Escalate discrepancies, conflicts, or potential risks to senior team members as appropriate.
- Partner with attorneys, paralegals, legal secretaries, and administrative staff to support deadline management and case activity.
- Provide responsive and reliable service to offices across the firm in a centralized docketing model.
- Collaborate with docketing team members to ensure workload balance, coverage, and continuity of service.
- Utilize Aderant Milana and related tools to manage docketing workflows efficiently.
- Follow established procedures and contribute to continuous improvement efforts within the centralized docketing function.
- Support data clean-up, migration, and other system-related projects as needed.
- Participate in training programs and ongoing development to enhance docketing knowledge and system proficiency.
- Stay current on relevant court rules, procedural updates, and jurisdictional requirements.
- Assist with onboarding, training, and knowledge sharing within the team as appropriate.
