Job Description

REQUIREMENTS

  • Proven clerical or office experience with a strong background in data entry and administrative support
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or other bookkeeping software is highly desirable
  • Bilingual abilities are a plus, especially in languages relevant to our diverse client base
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Strong typing skills with high accuracy and attention to detail
  • Knowledge of front desk operations, phone etiquette, and office management best practices
  • Previous experience as a medical or dental receptionist or personal assistant is advantageous
  • Familiarity with multi-line phone systems, filing procedures, proofing documents, and calendar management

RESPONSIBILTIES

  • Enter and update data into company databases with speed and accuracy, ensuring all information is correct and complete
  • Manage filing systems both digitally using Google Workspace and physically, maintaining organized records for easy retrieval
  • Support office management tasks such as calendar management, appointment scheduling, and front desk duties
  • Handle multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial record-keeping
  • Proofread documents for errors before submission, maintaining high standards of quality control
  • Provide exceptional customer service by responding promptly to inquiries and supporting clients or staff as needed
