Job Description
REQUIREMENTS
- Proven experience in office management, clerical work, or customer service roles with strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic computer skills.
- Previous experience with multi-line phone systems and front desk responsibilities preferred.
- Bilingual abilities are a plus to serve diverse customer needs effectively.
- Excellent communication skills with a professional phone etiquette and customer support mindset.
- Strong typing skills with attention to detail for proofreading and data entry tasks.
- Familiarity with office equipment such as fax machines, scanners, and filing systems.
- Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required.
RESPONSIBILITIES
- Greet clients and visitors at the front desk with a friendly, professional demeanor, managing multi-line phone systems to direct calls accurately.
- Handle customer inquiries via phone, email, or in person, providing clear information and resolving issues promptly.
- Manage appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace tools.
- Perform data entry, filing, and maintain accurate records using computer literacy skills and clerical experience.
- Support office management tasks such as filing, proofreading documents, and organizing supplies to ensure smooth daily operations.
- Assist with basic bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping.
- Maintain excellent phone etiquette, organizational skills, and time management to prioritize tasks effectively in a fast-paced environment.
