REQUIREMENTS

  • Associate’s degree required; Bachelor’s degree preferred.
  • Previous experience in travel planning, venue coordination, event planning, or a related field.
  • Proven experience coordinating multiple events, projects, or complex logistics simultaneously.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and ability to meet deadlines.
  • Excellent verbal and written communication skills.
  • Strong customer service and relationship-building abilities.
  • Demonstrated sales, negotiation, and vendor-management skills.
  • Ability to establish and maintain productive business relationships.
  • Ability to work independently and make sound decisions with minimal supervision.
  • Strong problem-solving skills and the ability to remain calm and effective in a fast-paced environment.
  • Ability and willingness to travel within an assigned territory as needed.

RESPONSIBILITES

  • Plan, coordinate, and manage all aspects of company medical events within an assigned territory.
  • Research, source, evaluate, and secure appropriate venues and event locations.
  • Coordinate staff travel, transportation, and lodging arrangements.
  • Develop and maintain strong working relationships with venues, hotels, transportation providers, and other vendors.
  • Negotiate pricing and services while maintaining event budgets and company standards.
  • Understand the unique logistical requirements of different events, customers, and locations.
  • Maintain a strong working knowledge of local venues, accommodations, vendors, and available services.
  • Manage event logistics from initial planning through day-of execution.
  • Ensure venues are prepared according to company specifications.
  • Be available to assist and resolve issues as they arise.
  • Anticipate potential challenges and proactively develop contingency plans.
  • Communicate clearly and consistently with staff, customers, vendors, and internal teams.
  • Ensure events are delivered professionally, efficiently, and within established budgets.
  • Maintain accurate records of event details, vendor information, travel arrangements, and related logistics.
