Job Description

REQUIREMENTS

  • Minimum 2 years of experience with program or administrative coordination, including scheduling, task tracking, follow-ups, and logistics coordination
  • Minimum 2 years of experience with coordination tools such as Excel trackers, Outlook, Teams, calendaring, SharePoint, or similar tools used for process tracking and communication
  • Minimum 2 years of experience with process and operations support, including documentation, status reporting, and maintaining logs or trackers
  • Previous experience with standard office applications required
  • Strong verbal and written communication abilities
  • Excellent organizational and time management capabilities
  • Ability to multitask and prioritize competing demands effectively
  • Customer service orientation with strong interpersonal skills
  • Ability to work independently with minimal supervision
  • Attention to detail and accuracy in data entry and record keeping
  • Discretion in handling confidential and sensitive information
  • Problem-solving skills and ability to navigate ambiguous situations
  • Adaptability to changing priorities and workload fluctuations

RESPONSIBILITIES

  • Serve as the main point of contact for all business guest inquiries and support needs
  • Coordinate and execute onboarding and offboarding processes for business guests
  • Manage incoming requests through email and tracking systems, ensuring timely responses and resolution
  • Maintain and update system records, trackers, and documentation throughout the business guest lifecycle
  • Coordinate equipment ordering and distribution for business guests
  • Track and monitor requests from initiation through completion, providing status updates as needed
  • Facilitate communication between business guests, managers, stakeholders, and business administrators
  • Respond to routine correspondence and inquiries with appropriate information and guidance Support credential management processes, including updates and extensions
  • Handle ad-hoc support requests and emerging business guest management needs
  • Maintain organized records and confidential information in accordance with established protocols
  • Prepare reports, memos, and other documentation as required
