Job Description

REQUIREMENTS

  • In-depth knowledge of monthly bookkeeping processes and quality control
  • Strong understanding of accounting principles and financial reporting
  • Experience reviewing and correcting bookkeeping work
  • Comfortable handling complex reconciliations and journal entries
  • Experience with QuickBooks Online
  • Experience troubleshooting integrations and third-party systems
  • Comfortable communicating with clients and external agencies when needed

RESPONSIBILITIES

  • Fix & Resolve Bookkeeping Problems
  • Identify and resolve discrepancies in client books
  • Troubleshoot issues between systems (QBO, invoicing/payment platforms, payroll, etc.)
  • Investigate A/R and other issues by working inside client systems
  • Handle payroll and sales tax discrepancies, including communication with state agencies when needed

Quality Control & Month-End Oversight

  • Review bookkeeping work for accuracy and completeness
  • Ensure financials are clean, tied out, and ready for reporting
  • Review month-end reports before they go to clients
  • Maintain high standards across all client files

Monthly Reviews & Client Communication

  • Communicate with clients (primarily through our portal)
  • Add notes to reports so clients understand their numbers and next steps
  • Occasionally communicate with clients via phone or Zoom

Support & Guide the Team

  • Answer questions from bookkeepers and provide direction
  • Make decisions when things are unclear—this is a decision-making role
  • Collaborate in a positive, supportive way to elevate team performance

Cleanup & New Client Onboarding

  • Review new client books and create cleanup plans
  • Execute and delegate cleanup work
  • Build client-specific workflows and SOPs for ongoing success
  • Improve Systems & Processes
  • Identify workflow issues and help improve them
  • Create and update SOPs alongside the team
  • Stay aligned with internal processes to keep things running smoothly
