Billing Administrator
Job Description
REQUIREMENTS
- Experience using SiteTracker, including project billing modules, reporting, and data entry
- Minimum 2 years of billing, accounts receivable, or project administration experience
- Excellent attention to detail and ability to catch discrepancies in numerical data
- Ability to work independently and manage your own schedule within deadlines
Preferred:
- Familiarity with telecom or utility construction billing
- Experience working with general contractors, telecom carriers, or utility customers
RESPONSIBILITIES
- Generate, review, and submit customer invoices through SiteTracker, ensuring accuracy of project data, units completed, and pricing
- Reconcile billing records against project milestones, work orders, and field completion data
- Track and follow up on outstanding invoices, partnering with project managers to resolve billing disputes or missing documentation
- Maintain and update project records in SiteTracker, including job status, billing milestones, and supporting documentation
- Pull billing reports and provide weekly status updates to leadership on receivables and billing pipeline
- Coordinate with field crews and project managers to obtain documentation needed for invoicing (photos, sign-offs, completion certificates, etc.)
- Assist with month-end close activities, including accruals, billing summaries, and revenue reconciliation
- Support audits and customer inquiries related to billing and project records
- Identify process improvements to streamline billing workflows
