Executive Assistant/Office Manager
Job Description
REQUIREMENTS
- Experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency with Microsoft Office, Google Workspace, Zoom, and electronic document management.
- Ability to work independently with minimal supervision.
- Healthcare or medical office experience is preferred.
- Knowledge of HIPAA is a plus.
RESPONSIBILITIES
- Manage calendars, appointments, and scheduling.
- Answer phone calls and respond to emails professionally.
- Coordinate referrals and communicate with clients, healthcare providers, and agencies.
- Prepare, organize, and maintain documents, forms, and reports.
- Assist with Oregon DHS and healthcare-related administrative paperwork.
- Maintain electronic records and files.
- Schedule meetings and follow up on pending tasks.
- Provide general executive and office administrative support.
- Assist with invoicing, billing, and basic bookkeeping (preferred but not required).
- Handle confidential information in compliance with HIPAA.
