Job Description

REQUIREMENTS

  • Experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency with Microsoft Office, Google Workspace, Zoom, and electronic document management.
  • Ability to work independently with minimal supervision.
  • Healthcare or medical office experience is preferred.
  • Knowledge of HIPAA is a plus.

RESPONSIBILITIES

  • Manage calendars, appointments, and scheduling.
  • Answer phone calls and respond to emails professionally.
  • Coordinate referrals and communicate with clients, healthcare providers, and agencies.
  • Prepare, organize, and maintain documents, forms, and reports.
  • Assist with Oregon DHS and healthcare-related administrative paperwork.
  • Maintain electronic records and files.
  • Schedule meetings and follow up on pending tasks.
  • Provide general executive and office administrative support.
  • Assist with invoicing, billing, and basic bookkeeping (preferred but not required).
  • Handle confidential information in compliance with HIPAA.
