Job Description

REQUIREMENTS

  • Excellent written and verbal communication skills
  • Exceptional organization and attention to detail
  • Experience in customer service, client relations, hospitality, aesthetics, wellness, healthcare, or luxury service industries preferred
  • Comfortable using CRM systems, scheduling software, Canva, AI tools, and social media platforms
  • Ability to work independently and manage multiple priorities
  • Strong problem-solving skills
  • Professional, positive, and relationship-focused mindset
  • Experience working in a med spa, plastic surgery, dermatology, aesthetics, wellness, or luxury hospitality environment
  • Experience with email marketing platforms
  • Experience with social media management
  • Experience with patient retention programs or membership programs
  • 2 years experience med spa
  • Bachelors degree Hospitality

RESPONSIBILITIES

Patient Experience & Retention

  • Ensure all new patient paperwork and consents are completed prior to appointments
  • Confirm appointments through phone, text, and email communications
  • Conduct patient follow-up communications after treatments
  • Manage review and testimonial requests
  • Coordinate before-and-after photo follow-up campaigns
  • Reactivate inactive patients through personalized outreach
  • Assist with membership communication and retention efforts
  • Send personalized thank-you notes and client appreciation communications

Lead Management & Scheduling

  • Monitor and respond to incoming leads
  • Contact prospective patients promptly
  • Follow up with consultations and inquiries
  • Help fill schedule gaps and last-minute cancellations
  • Assist with directing maintenance patients to appropriate providers
  • Support schedule optimization across multiple locations

Marketing & Client Engagement

  • Schedule and publish social media content provided by the team
  • Respond to social media messages and comments
  • Manage email marketing campaigns and newsletters
  • Coordinate text message marketing campaigns
  • Assist with loyalty rewards and referral programs
  • Support promotional campaigns and special offers

Events & Community Engagement

  • Assist in planning client appreciation events
  • Coordinate VIP events and open houses
  • Support seasonal promotions and campaigns
  • Manage event communications and RSVPs

Administrative & Growth Support

  • Coordinate website updates and content changes
  • Maintain client communication systems
  • Organize marketing assets and before-and-after galleries
  • Work alongside ownership to identify opportunities to improve client experience and retention
  • Support additional projects that contribute to business growth
