Job Description
REQUIREMENTS
– Exceptional written communication skills: professional, polished, and concise
– Proven experience managing inboxes and calendars for senior executives
– Strong organizational skills with meticulous attention to detail
– Ability to work independently, take initiative, and operate without direct supervision
– Proficiency in Microsoft 365 suite including Outlook, Teams, SharePoint, OneDrive, Word, and Excel
– Comfortable managing digital workflows and adapting quickly to new technology platforms
– High level of discretion and confidentiality handling sensitive information
– Experience using AI tools to enhance productivity and workflow efficiency
RESPONSIBILITIES
– Manage the CEO’s inbox and calendar across multiple accounts efficiently and proactively
– Build, organize, and maintain the company’s SharePoint site within the first 90 days
– Process Signal membership applications independently and without prompting; reviewing Tally form responses, making judgment calls on fit, sending acceptance emails, managing the onboarding into Circle, handling payment follow-up
– Handle confidential client and regulatory information with high discretion
– Communicate clearly and professionally on behalf of the executive
– Manage digital workflows and quickly learn new platforms to optimize operations
– Anticipate executive needs and protect her time by prioritizing and filtering requests
– Actively seek and implement AI-driven solutions to streamline workflows and improve team efficiency
