Executive Assistant/Operations Support
Job Description
REQUIREMENTS
- Proven experience with CRM management and sales administration
- Strong customer service skills aligned with a luxury brand experience
- Proficiency in Canva and Outlook
- Experience with QuickBooks and eSignly
- Familiarity with Shopify
- High level of English proficiency
Preferred
- Experience using Stageforce
- Ability to pull reports and perform basic data handling
- Familiarity with AI tools such as Claude
- Experience with basic invoicing and landing page setup
RESPONSIBILITIES
- Capture, organize, and categorize inbound leads within the CRM to ensure no opportunities are lost
- Respond to new leads promptly to maintain engagement in a fast-paced real estate environment
- Qualify and filter leads to ensure high-quality prospects are prioritized
- Create soft proposals using Canva templates and manage follow-up communications
- Track accepted proposals and support the transition from signing to payment
- Handle contract renewal outreach and manage extension invoices or destaging pickups
- Support basic invoicing and administrative follow-up for signed projects
- Assist with light landing page or Shopify setup for future product lines as needed
