Virtual Scheduler & Coordinator
Job Description
REQUIREMENTS
- Bachelor’s degree in any field
- Minimum 1 year experience in scheduling, coordination, appointment setting, or similar role
- Strong experience in CRMs, scheduling tools, Google Suite, and Microsoft Office (especially Excel)
- Knowledge of ClassCard is preferred
- Experience in an educational setting is preferred
- Excellent communication skills (written and verbal)
- Strong organizational and time-management skills
- Ability to multitask and work in a fast-paced environment
- High attention to detail and accuracy in data management
- Problem-solving mindset with a proactive approach
- Experience working with international teams (UAE exposure is an advantage)
- Ability to adapt quickly to new systems and workflows
- Available to join immediately
RESPONSIBILITIES
- Manage and coordinate daily schedules for staff, clients, and service providers
- Handle all incoming inquiries via email, phone, and WhatsApp in a professional and timely manner
- Ensure smooth coordination between departments, clients, and external partners
- Maintain accurate scheduling systems and ensure all updates are properly recorded
- Support operations by resolving scheduling conflicts and managing last-minute changes
- Respond effectively in urgent or emergency scheduling situations
- Collect and document feedback from stakeholders to support service improvement
- Prepare basic reports and summaries for management review
- Ensure data accuracy and proper use of scheduling systems and CRMs
