Job Description

REQUIREMENTS

  • Proven experience as a Virtual Medical Assistant or in a clinical administrative support role
  • Familiarity with EHR/EMR platforms; experience with Tebra, Epic, Athenahealth, or similar systems preferred
  • Strong knowledge of medical terminology, anatomy, and clinical workflows
  • Experience supporting urology, surgical specialty, or outpatient clinical environments
  • Working knowledge of orthopedic-related ICD-10 and CPT codes
  • Excellent written and verbal communication skills for patient and provider interaction
  • Highly organized with strong multitasking ability in a fast-paced remote setting
  • Must be US-based and authorized to work in the United States
  • Reliable high-speed internet connection and a private, distraction-free workspace

Preferred

  • Background in orthopedic surgery or experience supporting high-volume orthopedic
  • practices in a clinical/admin capacity
  • Familiarity with front-office and virtual medical assistant responsibilities in a U.S.-based healthcare setting
  • Experience usingTebrafor appointment scheduling, calendar management, and patient coordination
  • Ability to handle inbound phone calls, schedule appointments, and manage provider calendars efficiently
  • Skilled in taking and accurately documenting patient messages and clinical requests
  • Experience with faxing operative reports, referrals, and coordinating physical therapy documentation
  • Comfortable supporting general administrative tasks in a fast-paced orthopedic practice environment
  • Strong understanding of remote support workflows and virtual medical assistant (VMA)

RESPONSIBILTIES

  • Patient Communication : Serve as the first point of contact for patients; respond to inquiries, relay provider instructions, deliver test results, and ensure clear, compassionate communication throughout the care journey
  • Call Handling: Manage inbound and outbound calls on behalf of providers; triage patient concerns, schedule or reschedule appointments, and escalate urgent matters appropriately
  • EHR/EMR Documentation: Accurately update and maintain patient records in real time, including demographics, visit notes, lab and imaging results, treatment plans, and follow-up instructions in compliance with HIPAA regulations
  • Rx Refill Processing: Review and process prescription refill requests, coordinate with providers for approvals, and communicate status updates to patients and pharmacies in a timely manner
  • Care Coordination: Facilitate seamless communication and referrals between providers, pharmacies, laboratories, hospitals, and specialty clinics to support continuity of patient care
  • Prior Authorization: Initiate and follow up on prior authorization requests for office visits, diagnostic and surgical procedures, and medications; ensure timely approvals and accurate documentation of outcomes
  • Administrative Support: Provide additional administrative assistance as required by the client’s practice, including inbox management, patient form processing, and any other operational support tasks
