Job Description

REQUIREMENTS

  • Extremely detail-oriented with a natural drive for perfection and precision
  • Strong written and spoken English for client communication and itinerary proofreading
  • Proven experience in operations, administration, and client-facing roles
  • Proficiency with CRM tools, travel platforms, and Canva
  • Ability to work autonomously and take ownership of projects in a remote environment
  • Availability to work remote hours between 6am-2pm EST

Preferred

  • Background in travel, hospitality, or luxury service industries
  • Experience with itinerary building or complex travel coordination
  • Process improvement mindset with experience creating SOPs
  • Basic marketing or social media support skills

RESPONSIBILITIES

  • Manage luxury trip operations from the design phase through to client departure
  • Master and utilize internal systems including Axus, TripSuite, TravelJoy, and Constant Contact
  • Build, refine, and optimize SOPs and templates to streamline agency workflows
  • Review itineraries with meticulous attention to detail to ensure accuracy
  • Handle VIP communications with hotel GMs regarding client preferences and arrival details
  • Manage trip payments, commission invoicing, and track outstanding payments
  • Oversee travel insurance sales, including quoting policies and maintaining records
  • Provide luxury-level concierge support and follow up with partners post-trip
  • Create social media content and onboarding documentation to support agency growth
