Travel Operations Manager
Job Description
REQUIREMENTS
- Extremely detail-oriented with a natural drive for perfection and precision
- Strong written and spoken English for client communication and itinerary proofreading
- Proven experience in operations, administration, and client-facing roles
- Proficiency with CRM tools, travel platforms, and Canva
- Ability to work autonomously and take ownership of projects in a remote environment
- Availability to work remote hours between 6am-2pm EST
Preferred
- Background in travel, hospitality, or luxury service industries
- Experience with itinerary building or complex travel coordination
- Process improvement mindset with experience creating SOPs
- Basic marketing or social media support skills
RESPONSIBILITIES
- Manage luxury trip operations from the design phase through to client departure
- Master and utilize internal systems including Axus, TripSuite, TravelJoy, and Constant Contact
- Build, refine, and optimize SOPs and templates to streamline agency workflows
- Review itineraries with meticulous attention to detail to ensure accuracy
- Handle VIP communications with hotel GMs regarding client preferences and arrival details
- Manage trip payments, commission invoicing, and track outstanding payments
- Oversee travel insurance sales, including quoting policies and maintaining records
- Provide luxury-level concierge support and follow up with partners post-trip
- Create social media content and onboarding documentation to support agency growth
