Job Description

REQUIREMENTS

  • Exceptional written communication skills with the ability to create clear, concise, and easy-to-follow documentation.
  • Strong interviewing and active listening skills.
  • Excellent organizational skills and attention to detail.
  • Ability to simplify complex processes into practical instructions that can be followed by individuals with varying levels of experience.
  • Comfortable interacting with individuals from diverse professional and personal backgrounds.
  • Self-motivated and capable of independently managing projects and deadlines.
  • Strong judgment and ability to ask clarifying questions to ensure accuracy and completeness.
  • Proficiency with common office software such as Google Workspace or Microsoft Office.
  • Ability to learn and adapt to new software systems and operational processes.
  • Experience writing operational documentation, training materials, procedural manuals, or Standard Operating Procedures preferred.
  • Experience conducting interviews, gathering operational information, or analyzing workflows preferred.
  • Experience in nonprofit organizations, operations, administration, project coordination, training, or process improvement is a plus.
  • Experience creating process documentation for volunteer-driven organizations is a plus.

RESPONSIBILITIES

  • Conduct interviews and information-gathering meetings with staff, volunteers, contractors, and leadership team members to understand operational workflows and responsibilities.
  • Observe and document how key organizational functions are performed, including both routine and event-based activities.
  • Create clear, organized, step-by-step Standard Operating Procedures (SOPs) for organizational functions such as event hosting, volunteer onboarding, race-day coordination, community outreach, fundraising support, communication workflows, and administrative tasks.
  • Develop supporting materials such as checklists, templates, process maps, forms, and training guides as needed.
  • Organize SOP documents in a consistent format that can be easily accessed, updated, and used by future team members.
  • Identify gaps, inconsistencies, or inefficiencies in current processes and communicate observations to leadership.
  • Revise SOPs as processes evolve or feedback is received from users.
  • Work collaboratively with leadership to prioritize which procedures should be documented first.
  • Maintain confidentiality regarding internal organizational information and sensitive participant or volunteer data.
  • Other responsibilities as assigned.
