Job Description
REQUIREMENTS
- Experience in project coordination, scheduling, operations, or resource management.
- Strong communication, organizational, and prioritization skills.
- Customer service oriented.
- Ability to manage multiple requests with high attention to detail.
- Proficiency in scheduling tools and enterprise systems (ERP, CRM, additional platforms, etc.)
RESPONSIBILITIES
Intake Administration
- Serve as the primary point of contact for corporate and regional business unit requests.
- Review, validate, and approve incoming requests to ensure completeness, accuracy, and alignment with established criteria.
- Act as gatekeeper to ensure appropriate and properly scoped work is routed to Central Resources and Practices teams.
- Communicate with requestors to clarify requirements or obtain missing information.
Scheduling and Resource Coordination
- Own the full lifecycle of scheduling from intake to assignment.
- Serve as a liaison between regional business units, Central Resources, the Practices, and any applicable third-party vendors/contractors.
- Assign appropriate technical and/or practice resources based on scope, availability, skillset, and priority.
- Maintain visibility into team capacity and workload balance.
- Monitor deadlines and adjust schedules as needed to support changing business needs.
- Support reporting needs related to intake volume, turnaround times, and resource utilization.
Workflow Process and Optimization
- Maintain and continuously improve the intake and scheduling workflow.
- Develop and document standard operating procedures related to request management and resource allocation.
- Identify process and/or skills gaps or inefficiencies and recommend improvements.
- Ensure alignment between Central Resources and Practices teams in scheduling priorities and execution.
