Receptionist/Administrative Assistant
Job Description
REQUIREMENTS
- Prior medical office, call center, scheduling, or virtual assistant experience preferred
- Experience in a healthcare setting strongly preferred
- Pain management, specialty clinic, or referral coordination experience is a plus
- Comfortable speaking with patients and physician offices by phone
- Strong attention to detail and ability to enter information accurately
- Reliable internet connection and quiet remote work environment
- Ability to work independently while following clinic protocols
- Professional written and verbal communication skills
- Familiarity with EMR systems is preferred
- Knowledge of insurance, referrals, prior authorizations, and patient intake is a plus
RESPONSIBILITIES
- Answer incoming phone calls during office hours in a professional and friendly manner
- Accept and process incoming patient referrals from referring providers
- Collect new patient demographic information
- Collect and verify insurance information
- Schedule new patient appointments and follow-up appointments
- Answer basic patient questions about scheduling, referrals, office policies, and appointment preparation
- Route clinical, billing, authorization, medication, or complex questions to the appropriate office staff or office manager
- Maintain accurate documentation in the electronic medical record system
- Communicate with referring offices as needed to obtain records, referral details, insurance information, or missing documentation
- Help keep the referral and scheduling process organized and efficient
- Follow HIPAA and patient privacy requirements at all times
- Provide a high level of customer service to patients and referral sources
