Job Description

REQUIREMENTS

  • High school diploma or equivalent.
  • Minimum 1 year of experience in project coordination, administrative support, customer service, construction administration, logistics, operations support, or office management.
  • Excellent verbal and written communication skills.
  • Strong organizational, planning, and multitasking abilities.
  • Ability to work independently in a fully remote environment.
  • Proficiency with Microsoft Office, Google Workspace, and web-based collaboration tools.

Preferred

  • Experience supporting construction, engineering, marine, infrastructure, transportation, or industrial service organizations.
  • Familiarity with project management software, CRM systems, document management platforms, or scheduling software.
  • Experience coordinating multiple projects simultaneously.
  • Previous remote work experience.

RESPONSIBILITIES

Project Coordination

  • Assist with coordinating project activities, timelines, and administrative tasks.
  • Monitor project milestones and communicate status updates to internal teams.
  • Schedule project meetings and maintain project calendars.
  • Support project managers with day-to-day coordination activities.

Documentation & Reporting

  • Prepare, organize, and maintain digital project files and documentation.
  • Update project trackers, reports, and administrative records.
  • Ensure project documentation is accurate, complete, and accessible.
  • Assist with preparing meeting agendas, notes, and project summaries.

Client & Vendor Support

  • Respond to general inquiries from clients, vendors, and business partners.
  • Coordinate communications between internal departments and external stakeholders.
  • Assist with vendor onboarding documentation and project correspondence.
  • Maintain professional and timely communication throughout project lifecycles.

Administrative Support

  • Perform data entry and maintain accurate information within company systems.
  • Track project-related requests and ensure timely follow-up.
  • Assist with contract administration, document routing, and operational reporting.
  • Support additional administrative and project support initiatives as assigned.
