Job Description

REQUIREMENTS

  • High school diploma or equivalent required; associate’s or bachelor’s degree in business, healthcare administration, or a related field is a plus
  • 0–2 years of experience in order entry, data entry, administrative support, or a related role
  • Strong attention to detail with a high level of accuracy in data entry and record keeping
  • Excellent written and verbal communication skills with a professional and friendly tone
  • Proficiency with Microsoft Office Suite including Word, Excel, and Outlook
  • Experience with CRM software, order management systems, or ERP platforms is a plus
  • Ability to multitask and prioritize effectively in a fast-paced remote environment
  • Strong organizational and time management skills with the ability to meet deadlines
  • Self-motivated, reliable, and able to work independently with minimal supervision
  • Ability to handle sensitive client and organizational information with discretion and professionalism
  • Genuine passion for behavioral health, wellness, and making a positive impact in the community
  • Bilingual skills are a welcome bonus

RESPONSIBILITIES

  • Accurately enter and process client service orders into the company’s order management and CRM systems
  • Review and verify order details for accuracy, completeness, and compliance with company policies
  • Communicate with clients and internal teams to confirm order details, service schedules, and special requests
  • Coordinate with operations, clinical, and administrative teams to ensure timely and accurate service delivery
  • Track and monitor the status of all active orders and provide updates to clients and staff as needed
  • Resolve order discrepancies, errors, or delays promptly and professionally
  • Maintain organized and up-to-date records of all orders, transactions, and client interactions
  • Generate and review daily, weekly, and monthly order reports for management review
  • Assist with invoicing, billing inquiries, and payment processing as needed
  • Identify opportunities to improve the order entry process and communicate recommendations to management
  • Handle all client and organizational data with the highest level of confidentiality and in compliance with HIPAA and applicable privacy regulations
  • Provide general administrative and operational support to the team as required
