Job Description

REQUIREMENTS

  • Bachelor’s degree in Business, Communications, Marketing, or related field preferred
  • 0–2 years of professional experience in administrative support, operations, research, or coordination roles
  • Strong organizational and time-management skills
  • Proficiency with Microsoft Office or Google Workspace
  • Ability to manage multiple tasks and maintain accurate documentation
  • Organization and attention to detail
  • Documentation and records management
  • Research and information gathering
  • CRM and digital platform administration
  • Internal coordination and communication

RESPONSIBILITIES

Administrative & Operational Support

  • Provide day-to-day administrative support for operational and engagement activities
  • Organize internal files, documentation, and shared resources
  • Coordinate internal meetings, agendas, and follow-up notes as needed
  • Assist with preparation and formatting of internal presentations and reports

Documentation & Agreement Support

  • Assist with preparation, organization, and tracking of NDAs and CSAs
  • Maintain organized documentation of agreements and internal records
  • Ensure proper storage and version control of agreements and supporting documents
  • Track document status and assist with internal approval processes

Systems & Platform Management

  • Maintain and organize HubSpot CRM records, including updating contact and company data and cleaning outdated or duplicate entries
  • Support general HubSpot housekeeping and data organization
  • Assist with PandaDoc document management, including organizing templates, uploading documents, and tracking agreement status
  • Ensure internal systems remain accurate, organized, and up to date

Research & Information Support

  • Conduct background research on industries, organizations, or potential opportunities as requested
  • Compile research summaries and briefing materials to support internal planning and strategy
  • Assist in gathering information for internal reports and leadership updates

Data Tracking & Reporting

  • Maintain tracking documents for internal activities and operational updates
  • Assist in preparing internal status updates and reporting summaries
  • Ensure accurate data entry and record management across systems
