Lead Management Coordinator
Job Description
REQUIREMENTS
- 2–4+ years of experience in sales, intake, or lead conversion roles (required)
- Experience working in a high-volume, fast-response environment preferred
- Proven ability to meet or exceed conversion or scheduling KPIs
- Strong phone communication and interpersonal skills
- High attention to detail and accuracy
- Ability to multitask and prioritize effectively
- Experience with CRM systems such as Go High Level, Salesforce or similar platforms
- preferred
- Experience working with a Voice Ai platform preferred
- Strong experience with Excel or Google Sheets (required) — comfortable tracking lead data, maintaining reports, and using basic formulas (filters, sorting, simple calculations, KPI tracking)
- Reliable, consistent, and accountable
- Strong follow-through and persistence
RESPONSIBILITIES
- Monitor all incoming phone calls
- Ensure all new leads are contacted within 10 minutes
- Ensure missed calls are returned within 10 minutes
- Monitor all marketing leads (website, forms, LSA, referrals, etc.)
- Ensure every lead is assigned and actively being worked
- Flag and escalate any delays in response time
- Track all intake leads daily
- Maintain accurate intake tracking reports
- Track key data points including: Total Leads, Lead Source and Scheduled Appointments
- Prepare and maintain daily and weekly intake reports
- Conduct follow-up calls with Potential New Clients (PNCs)
- Work to convert leads into scheduled appointments
- Re-engage leads in active follow-up campaigns
- Reschedule no-shows
- Reach out to current clients to schedule Estate Plan Update Appointments
- Track and report follow-up outcomes
