Entry-Level Administrative Assistant
Job Description
REQUIREMENTS
Comfortable working with spreadsheets (Google Sheets or Microsoft Excel)- Strong attention to detail and ability to follow written instructions
- Basic written communication skills
- Ability to work independently in a remote environment
- Reliable internet connection and access to a computer suitable for remote work
- Entry-level candidates welcome; training and guidance provided
RESPONSIBILITIES
Administrative Data Management
- Update and maintain spreadsheets and internal records on a daily basis
- Ensure data accuracy by reviewing entries for completeness and consistency
- Standardize formatting across records (names, contact details, regions, notes, identifiers)
- Identify and correct obvious errors, duplicates, or incomplete entries
- Flag missing or inconsistent information for follow-up
- Maintain clean, structured datasets that support downstream operations and reporting
Task & Request Coordination
- Review incoming administrative requests and categorize them appropriately
- Assign or route tasks to the correct team members based on established workflows
- Track task progress from assignment through completion
- Follow up on overdue or incomplete items to ensure timely resolution
- Maintain clear documentation of task status and outcomes
Tracking, Logs, and Daily Reporting
- Maintain operational trackers for completed work, pending items, and in-progress tasks
- Log daily activity, including updates made, issues identified, and items requiring follow-up
- Prepare brief daily or periodic summaries outlining progress and outstanding items
- Identify recurring issues or data gaps and escalate patterns to the team for improvement
Scheduling & Coordination Support
- Assist with basic scheduling support when requested, including confirming availability
- Update calendars or internal schedules based on provided instructions
- Send reminders or confirmations to help ensure deadlines and steps are not missed
- Track completion of internal checklists, onboarding steps, or operational milestones
Quality Assurance & Record Accuracy
- Review work prior to submission to ensure accuracy and compliance with guidelines
- Maintain consistent file naming, folder structure, and documentation standards
- Ensure records remain organized, accessible, and up to date
- Support overall operational efficiency by keeping systems clean and reliable

- High level of accuracy with minimal errors
- Consistent daily output and dependable task completion
- Clear and timely communication when blocked or missing information
- Strong organizational habits and attention to file hygiene
- Ability to follow standard operating procedures (SOPs) precisely
