REQUIREMENTS
- Excellent written and verbal communication skills
- Strong customer service background
- Comfortable speaking with prospective clients over the phone
- Comfortable discussing pricing, enrollment, and payment matters professionally
- Administrative Assistant, Scheduling Coordinator, Client Services, Customer Success, Operations, Sales Support, Admissions, Enrollment Coordinator, Virtual Assistant, Receptionist, or related experience preferred
- Strong attention to detail
- Ability to prioritize tasks and stay organized
- Comfortable working independently
- Professional, positive, and solution-oriented attitude
- Reliable internet connection and dedicated workspace
- Fluent English required
- Spanish bilingual strongly preferred
- Comfortable communicating professionally with both English-speaking and Spanish-speaking families
RESPONSIBILTIES
- Customer service via phone, text message, and email
- Client relationship management
- Scheduling and rescheduling swimming lessons
- Lead follow-up and enrollment support
- Conduct phone consultations with prospective clients
- Explain our client’s programs, pricing, and scheduling options
- Follow up with prospective families and nurture leads
- Help convert inquiries into enrolled swimmers
- Assist with enrollment goals and client retention efforts
- Instructor coordination and schedule management
- Administrative support and data entry
- Payment follow-up and account management
- Monitor client accounts and assist with billing follow-up
- Contact families regarding failed or outstanding payments
- Maintain accurate billing records and account notes
- Work with families to resolve payment-related issues professionally and respectfully
- Manage waivers and onboarding paperwork
- Maintain accurate client records
- Assist with operations and workflow management
- Provide a high-end customer experience for every family
